Please read the following booking terms and conditions carefully, as they set out the contract between you and African Sunrise Safari Ltd. These terms also govern the use of our websites and services. By using our website, making an enquiry, or placing a booking—whether through our web forms or any other method—you accept these conditions. If you do not agree, please do not use African Sunrise Safari Ltd's services or website.

African Sunrise Safari Ltd acts as an agent and not a principal under SARS VAT interpretation note no. 42.

Bookings

Except for late bookings, all bookings are confirmed on the condition that a non-refundable deposit, typically 25% of the total package price, is paid to African Sunrise Safari Ltd within 24 hours of confirmation. At the time of booking, you will be advised if a larger or full payment is required, as many service providers now require 100% pre-payment within 24 hours. The balance is due no less than nine weeks before departure. If booking within nine weeks of departure, full payment is required immediately. Failure to pay on time will result in automatic cancellation of your booking.

Methods of Payment

We bank with HSBC and use Trust Payments' 3D Secure credit card payment system for all credit card transactions. You will receive a secure payment link from Trust Payments directly. This means neither African Sunrise Safari Ltd nor our staff have access to your card details. We also accept cash and electronic funds transfers (EFT); all bank charges are your responsibility, and payment must be made in full.

Financial Security

Your payment security is our top priority. With Trust Payments as our credit card processing partner, your transaction benefits from industry-leading encryption and security protocols used by major international companies. Booking by credit card provides an extra layer of protection, ensuring your funds are safe and your booking is secure.

Travel Insurance

Adequate travel insurance is essential. All insurance premiums must be paid at the time of booking, as cover only becomes effective after payment. African Sunrise Safari Ltd will not be liable should any traveller fail to secure suitable insurance.

Air and Train Tickets

Air and train fares (and associated taxes) quoted are current but subject to availability and changes outside our control. If a quoted fare is unavailable, we will advise you of alternative options. Fares may increase between booking, payment, and ticketing. We are not responsible if airlines or train operators alter schedules, discontinue routes, or if missed connections require re-routing or incur additional costs. Tickets are subject to the relevant airline or railway's terms and conditions.

Flight and Train Travel Timings

All travel timings provided are estimates and subject to change due to air traffic control, operational restrictions, weather, or passenger check-in delays. We cannot guarantee transport will depart as scheduled and accept no liability for altered, delayed, or missed departures or connections.

Flight and Train Travel Reconfirmation

It is your responsibility to reconfirm all flight and train times at least 72 hours prior to departure—especially for connecting or subsequent journeys within South Africa. We specifically exclude liability for delays, missed services, or any expenses arising from your failure to reconfirm.

Travel Documents

Travel vouchers are prepared only once full payment has been received, usually within 72 working hours. If you require hard copies of your documents, these can be sent by email or courier at your expense. Please check all travel documents as soon as you receive them; if there are inaccuracies, contact your agent immediately. We will not be liable for losses due to incorrect travel documents once received by you.

Passports, Visas, and Health Requirements

It is the client's responsibility to ensure all passports and visas are current, valid for at least six months after your return date, and obtained on time. You must also ensure all necessary vaccinations, prophylactics, and health documentation are in order, including those required for minors. Note: South Africa and Botswana have specific documentation requirements for children under 18, such as unabridged birth certificates.

Forced Changes to Your Package

While we strive to provide all services confirmed at booking, we work with independent suppliers and sometimes need to make changes. In the event of unforeseen circumstances (e.g., changes in government policy, COVID restrictions), we will, up to five weeks before arrival and without penalty, reschedule your booking for up to two years from your original arrival date. After this window, any rescheduling is subject to the policies of individual service providers.

Cancellation Terms

  • Cancellation prior to 9 weeks before travel: 25% deposit forfeited.
  • Cancellation 9–6 weeks before travel: 50% of total cost forfeited.
  • Cancellation less than 6 weeks before travel: 100% of total cost forfeited.

If your trip is affected by events beyond our control—such as pandemic restrictions or government policy—we will reschedule your booking up to five weeks before arrival, as above. Rescheduling after this point depends on supplier policies. Flights purchased on your behalf are subject to airline terms and conditions.

Information Disclaimer

All published rates on our website or documentation are subject to confirmation with the respective provider and can be affected by seasonal rates and unforeseen factors. We take care to keep information accurate and up to date, but mistakes or technical errors may occur. In such cases, neither African Sunrise Safari Ltd, its staff, nor host providers are liable for any loss, whether direct or indirect, arising from erroneous information.

IT IS IMPORTANT THAT YOU CHECK ALL DETAILS OF YOUR TRAVEL DOCUMENTS BEFORE TRAVELLING. IF THERE ARE ANY INACCURACIES, OR IF YOU HAVE QUESTIONS, PLEASE CONTACT YOUR AGENT IMMEDIATELY. AFRICAN SUNRISE SAFARI LTD WILL NOT BE LIABLE FOR ANY DELAY OR LOSS ARISING FROM INACCURACIES IN YOUR DOCUMENTS ONCE THEY ARE RECEIVED BY YOU.
